MaintainX Pricing (2026): Plans, Per-User Costs and Limits

Prices checked on vendor sites on November 1, 2026.

MaintainX pricing comes in four plans. Basic is free. Essential is $20 per user a month. Premium is $65. Enterprise is priced on request. Those are the prices if you pay yearly. Pay month to month and it’s $25 and $75. We checked MaintainX’s pricing page on Nov. 1, 2026.

The catch: Essential is cheap until your PMs need checklists. It lets you attach a procedure (a checklist) to only 3 work orders a month. Need more, and you need Premium. Call it the Checklist Tax. For 10 techs, it’s $5,400 a year.

You only pay for people who work in the app. Staff who only send in requests are free on every plan.

Prices by plan

Plan Pay yearly Pay monthly Built for (MaintainX’s words)
Basic $0 $0 Small teams digitizing work orders
Essential $20 per user/month $25 per user/month Simple preventive maintenance
Premium $65 per user/month $75 per user/month Asset reliability, parts inventory and purchasing
Enterprise Custom Custom Multi-site teams that need SSO and more controls

Paying yearly saves 20% on Essential and about 13% on Premium.

What your team pays in a year

MaintainX doesn’t show team totals, so here’s the math from its list prices. Count only the techs and planners who work in the app.

Paid users Essential, pay yearly Essential, pay monthly Premium, pay yearly Premium, pay monthly
3 $720 $900 $2,340 $2,700
5 $1,200 $1,500 $3,900 $4,500
10 $2,400 $3,000 $7,800 $9,000
25 $6,000 $7,500 $19,500 $22,500

MaintainX says it may add sales tax, depending on where you’re billed.

The limits you’ll hit first

  • Checklists on work orders: 2 a month on Basic, 3 on Essential. No limit on Premium.
  • Repeating PMs: 2 active on Basic. No limit on Essential and up.
  • Report history: Basic gets 1 month of Advanced Analytics. Essential gets 3 months. Premium has no limit.
  • Photos on work orders: 5 a month on Basic. No limit on Essential and up.

If your PM program runs on checklists, the 3-a-month cap on Essential is the one you’ll hit first.

What only Premium and Enterprise get

Premium adds parts inventory, purchase orders, meter-based PMs, time and cost tracking, an open REST API and a dedicated account manager.

Enterprise adds multi-site tools, SSO, custom permissions, IoT sensor links, resource planning, asset health insights and MaintainX Assist, its AI helper. MaintainX says OT data connectors (Ignition, Kepware, MQTT) cost extra. Custom ERP links, including its SAP package, may cost extra too.

How long setup takes

MaintainX says the average customer takes three weeks to set up one site. Premium and Enterprise customers get a dedicated setup specialist.

Did Autodesk change the price?

We can’t tell yet. Autodesk closed its MaintainX deal on Aug. 3, 2026, says its 8-K filing. Our first price check was three months later. We re-check at least every 90 days and will log any change here, with its date.

Is MaintainX worth it?

For a small team that mainly runs work orders and repeating PMs, Essential at $20 is cheap. Premium is where it gets expensive: $65 a seat for unlimited checklists, parts and purchasing. If you need those, price Premium against other tools before you sign. Our MaintainX alternatives page compares 8 of them for 5 and 10 users.
